Run Mama Run Terms and Conditions

PLEASE READ OUR TERMS & CONDITIONS CAREFULLY.

This is a small event so we need to trust everyone to follow some basic ground rules. Failure to do so could place you, your fellow racers, the volunteers or members of the public at risk.

All participants need to be registered by midnight 8th Och-tober 2010 and must adhere to the following conditions of entry:

  • The Event Organisers
    •  The event is organised by Run Mama Run committee of volunteers [known as the ‘organisers’ herein] on behalf of the Martyn Bennett Trust [SCO36438].
    • By entering Run Mama Run, you agree to abide by these Terms and Conditions of entry and any reasonable instructions given to you by the organisers, officials and marshals, before, during or after the event.
  •  The Contract
    •  All participants enter into Run Mama Run of their own free will fully understanding the arduous nature of the event.
    • By entering Run Mama Run, you agree to abide by these Terms and Conditions of entry and any reasonable instructions given to you by the organisers, officials and marshals, before, during or after the event.
    • Be aware that we are required to purchase public liability insurance and will ask you to sign a disclaimer at registration but that you may wish to consult an insurance broker for further cover.
    • You are required to be over 18-75 years of age (entrants under 16 are not considered official entrants, do not pay entry fees and enter entirely at their guardian’s own liability)
    • The event organisers are not liable for loss or damage to personal belongings, bicycles or vehicles.
    • All entrants must view and read the full Terms and Conditions before registering and must sign a disclaimer to enter the event on the day
  • Entry Fee
    • A non-refundable entry fee of £35 per participant is payable to the Martyn Bennett Trust at http://www.justgiving.com/runmamarun prior to the event and on completion of your registration (please make clear your name and reference Run Mama Run in your comments).
    • Participation in the event will only be confirmed once payment and all information has been confirmed in full by all team members. (Support team members are not subject to this payment, only active participants)
    • The organisers reserve the right to refuse entry to the event. There is a maximum limit of 50 entrants
  • Fundraising
    • By entering you are acknowledging that Run Mama Run is a fundraising event in aid of the Martyn Bennett Trust and commit that you and your team mates will raise a recommended minimum of £100 per person. (not including support team member)
    • You agree to list your personal or team just giving page at registration
    • You agree that the organisers may, at any time, contact any member of your team for information regarding the amount your team has raised.
    • You agree to adhere to the fundraising deadline of noon 15th Och-tober 2010
    • You understand that the amount of funds raised by your team is the amount the Martyn Bennett Trust receives and can attribute to your team. It does not include the entry fees or Gift Aid claimed by the Martyn Bennett Trust
    • You understand that failing to meet your fundraising commitment may result in being asked to make up the shortfall from personal funds and/or refusal of entry in the future to Run Mama Run.
    • You will encourage all your UK tax paying sponsors to sign up to Gift Aid, and ideally to donate online, so that we can minimise our administration costs and claim a further 28% on every donation made.
    • You may not divert donations intended for the Martyn Bennett Trust to cover the costs of your participation.
  • Fitness
    • Run Mama Run involves strenuous exercise over rugged and remote terrain for a sustained period in varying weather conditions.
    • It is your responsibility to ensure that you are fit enough to participate in the event and you are strongly advised to consult your doctor before undertaking any exercise and consult a professional fitness coach regarding a suitable training programme.
    • The organisers may, at any time, request any medical information or consent from you, including a declaration of fitness, and you will be obliged to provide such information or consent.
  • Team Registration
    • You must be part of a team of 2-6 persons to participate in this event and register as a team including Support team mate (who does not need to pay entrance fee).  The Team leader will be the first name entered and will act as the primary contact point for the team for thereafter (if you are struggling for team mates please let us know we can attempt to match you up with others in a similar position)
    • You are required to register your participation by confirming at the point of registration online that you have read these terms and conditions
    • You will be required at registration to state your intended route
  • Support team member
    • You are required to have a support team member if you are participating in the Silver, Gold and Platinum Challenge who has personal liability for looking after your bike and personal belongings and who can escalate any issues or concerns to the organisers.
  • Compulsory Kit List (see Kit List)
    • By entering Run Mama Run you agree that you will carry the personal essential kit as listed on this website.
    • By entering Run Mama Run you agree that your team will carry the team essential kit as listed on this website.
    • We the organisers reserve the right to disqualify any entrants who do not pass the preliminary kit check on the day of the event.
  • Guests
    • Teams are allowed to bring guests to the event however they are to be self sufficient in terms of transport to and from the Pentlands and whilst they are there. 
  •  Event Identification
    •  All team members are required to wear tartan on the day of the event to identify you as a participant
  • The Event
    • Run Mama Run is an endurance bike and hike event over arduous terrain undertaken to raise funds for the Martyn Bennett Trust. By choosing to start Run Mama Run or continue to the next checkpoint, you do so through your own choice and entirely at your own risk.
    • The event makes use of Pentland Hill Regional Hill walking and cycling routes which can be viewed at  http://www.edinburgh.gov.uk/phrp/>
    • An event “go / no go” text and email will be sent to the team lead noon-16:00 8th Och-tober 2010. It is the team lead’s responsibility to inform us if they have not received both these messages, and to correct any errors.
    • The event is staffed by a number of volunteer marshals who will provide assistance to entrants and support teams.
    • If any marshal believes that your safety will be compromised by your continued participation, you will be required to retire from the event. If you ignore the marshals’ advice and continue in the event, you will no longer be treated as an official entrant of Run Mama Run.
    • You will treat the volunteer marshals with the courtesy and respect that they deserve at all times. The organiser reserves the right to disqualify teams subjecting event personnel to verbal and physical abuse.
    • To ensure participants are not on the route after dark we will enforce a 13:00 cut off time to commence Silver, Gold and Platinum running stages
    • Similarly, there will be an overall 16:00 cutoff point at which we will contact all teams who have not returned to ensure their safety. At this point you may be advised to return immediately via a safe route.
    • You should note that the weather changes in Scotland can be rapid and severe and you should ensure that you are suitably equipped for an endurance event in these adverse conditions. [see Training & Preparation]
    • If instructed to return to Flotterstone by marshals you are required to do so as swiftly and safely as possible
    • To participate in the Silver, Gold and Platinum stages, you are required to sign in and sign out of Flotterstone, and Bavelaw during the cycle and the run. Failure to do so is instant disqualification from the competition and you will no longer be an official entrant of Run Mama Run
    • All participants will be asked to complete an emergency information form containing your emergency contact information and emergency numbers to contact in the event of any issues.
    • All participants and teams are required to complete a check in (safety brief, kit check and sign out on race sheets) before commencing the race. The organisers retain the right to refuse participation of teams or entrants on the basis they have failed to carry sufficient or appropriate kit without refunding the entry fee.
  • 50 Metre Rule
    • In keeping with ethos of the event and to increase your safety teams are required to stick together, to enforce this we require that members of teams are no more than 50 metres apart throughout the event. If a team member wishes to retire from the event when the rest of the team wish to go on we will allow this at Flotterstone however we will not allow individuals to continue alone, we will ensure that individuals are integrated into another team if they are continuing. Failure to follow this rule will result in non-refundable disqualification.
  • Environmental Responsibility
    • During the event you will be crossing areas of outstanding natural beauty, please do your best to minimise damage to the land. Leave gates as you find them, carry all litter, stick to the path and act responsibly and respectfully taking into consideration other users of the environment.
    •  Please do not drop litter whilst on the route, bins are provided at the waterstops and checkpoints.
    • The Scottish Outdoor Access Code provides a source of official information – see www.outdooraccess-scotland.com for ease of reference; paragraphs 3.60, 3.61 and 4.22 are particularly helpful. The Code is based on three broad principles:
  • Respect the interests of other people;
  • Care for the environment;(in particular to take care to stick to the park paths and carry all your litter)
  •  Take responsibility for your own actions
  • Public Roads
    • The route uses several public roads carrying fast moving traffic. No roads will be closed during the event and therefore all normal road rules apply.
    • The routes pass by Anglers based at Loganlea, Harlaw and Bavelaw, you are required to use due caution and act respectfully to other users of the park.
  • Participant Cancellation or Route / Team Changes
    • Any withdrawal from Run Mama Run should be advised via email to info@runmamarun.co.uk and acknowledged by the organiser.
    • Please contact organisers at info@runmamarun.co.uk if you need to change your intended route or team changes up until noon 8th Och-tober. Please note such changes cannot always be accommodated, particularly if close to the event
  • Data Protection & Marketing Release
    • In the course of registering and participating in Run Mama Run we will collect personal data from you and your team members. We may process and use the personal data collected for administrative, research and RMR event publicity purposes but we will not share it with any 3rd parties for marketing purposes.
    • By entering the event, you give us permission to use your name [and that of your team, team members and organisation that you represent], voice or picture in any broadcast, telecast, advertising material, promotion or other account of Run Mama Run.
    •  You are entitled to request access to, and correction of, all your personal data collected by us, it will be deleted 60 days after the event. To make such a request, please email us on info@runmamarun.co.uk
    • It is your responsibility to ensure we have your correct phone number and email address which will be used for the delivery of essential event information prior to the event.
